For setting up and tracking process of a meeting/training event I recommend Eventbrite for handling the admin of your event. Mailchimp handles the email information flow between you and your delegates. Using GoToMeeting Essentials gives you 5 people to conference with. Untried as yet is UberConference which gives 10 people but I would love to try this on my next online webair. I will let you know after trying it.
